Choosing WordPress Access for Writers and Editors Print

Give contributors individual accounts and permissions that match their editorial duties.

Steps

  1. Choose the required tasks first. Standard Contributors prepare their own posts for review; Authors can publish their own posts; Editors can manage and publish other users’ content.
  2. An authorized administrator opens Users → Add New, supplies a unique username and the intended email address, and selects the role. For an existing person, edit that account rather than creating a duplicate.
  3. Use the password and notification controls offered by the site to establish access securely. Verify the recipient address before sending account setup information.
  4. Test the actual required work: posts versus pages, media uploads, publishing, and editing another person’s content. Custom roles or workflow plugins can change the standard behavior.
  5. Review unnecessary access when responsibilities change, preserving authorship and content ownership before removing an account.

Check the result

The contributor should complete the intended tasks with their own login and without access to unrelated administration.

Before you continue

Multisite user management can differ. Do not grant Administrator solely to expose an editing control; check the specific capability, block restriction, or workflow requirement.
